Regulative framework
External persons (professors from other universities or persons with equivalent experience) may be appointed visiting professors by the Executive Committee, on the request of the faculty/department. ‘visiting lecturer’ or ‘visiting professor’ is awarded to the visitor when he/she is appointed. The salary scale of visiting professors whose salary is paid by K.U.Leuven is determined in function of the qualifications of the person in question.
If the salary is financed by the home university and not by K.U.Leuven, the title of ‘extraordinary visiting professor’ is awarded. Such professors may still receive reimbursement for expenditures or a daily allowance.
- if not substituting for a teaching post, the person in question is appointed a visiting fellow. These cases are managed by the International Admissions and Mobility Unit. They may enjoy the privileges of the status ‘Visiting Professor,’ and may reside in the Groot Begijnhof, depending on the availability of rooms.
- if substituting for a teaching post, the person in question is appointed as a visiting professor. These cases are managed by the Human Resources Department. They enjoy the privileges of the status ‘Visiting Professor,’ and may reside in the Groot Begijnhof, depending on the availability of rooms.
This form concerns visiting professors substituting for a teaching post and/or those staying in Belgium for over three months. Consult the 'Visiting Fellow' form for those who are staying for a maximum of three months without substituting for a teaching post.
Definition
This form concerns highly qualified (with doctorate or similar qualification) EEA citizens who are appointed full- or part-time visiting professors or extraordinary visiting professors by the university authorities, in order to conduct education or research activities at the university.
Status
Status in Belgium:- EEA citizens may travel to Belgium without any foregoing procedures. Once they are enrolled at K.U.Leuven, they must request the EEA citizen’s identity card from the municipality in which they reside in Belgium. In cases where their salary is paid by K.U.Leuven, they receive the document "appendix 19b" from the HR Department.
- In cases where they are substituting for a teaching position of maximum 3 months, they receive a declaration of registration.
- For foreign researchers from Romania or Bulgaria, the law on the employment of foreign employees remains in effect until 31 December 2011. This implies that a work permit is still required until that date.
Status at K.U.Leuven:
- They have the status of "visiting professor" and are registered by the Human Resources Department.
- Upon registration at the Human Resources Department, they receive all the necessary certificates for their stay at K.U.Leuven and their residence in Belgium. They must present themselves to the municipal offices within 8 business days.

Status concerning the immigration authorities
No work permit is required for EEA citizens, with the exception of Romanians and Bulgarians, for whom the law on the employment of foreign employees remains in effect until 31 December 2011.

- Health insurance: salaried: required registration with a Belgian health insurance company. Unsalaried: E-form
- Personal third party civil liability insurance: not obligatory, but recommended.
