Regulative framework
Taking security and insurance reasons into account, it is important that all foreign visitors who stay at K.U.Leuven for a period shorter than three months are also known and registered to this end. This registration is required for stays that last longer than one week. A registration is always required if the visitor - regardless of the duration of his/her stay – is financed by a monthly or daily allowance.
The application and registration take place through the International Office. Upon registration, the visitor receives a visitor’s card which grants him/her access to the university’s facilities and assistance from the social services. The visitor is also insured by K.U.Leuven against accidents, medical expenses and puncture accidents (if he/she is a member of the Faculty of Medicine).
This registration, and the registration of insurance, is normally financed by a scholarship fund. If the person concerned is self-supporting, he/she must pay for this from his/her own funds. The price is 64.80 euro, and increases by 6 euro for every started month.Definition
This form concerns non-EEA citizens who, usually in the context of an exchange agreement with other universities and whether or not they hold a scholarship, come to K.U.Leuven for a short stay of maximum 3 months in order to study or conduct research external to any employment.Status
Status in Belgium:- EEA citizens can come to Belgium without any foregoing procedures. As soon as they are registered at K.U.Leuven they must report to the municipal offices and receive a ‘declaration of arrival’.
- They have the status analogous to that of a student and must register at the International Office as visiting scholars for stays that exceed one business week. Registration and insurance fees amount to EUR 64.80 for the first month, with an additional EUR 6 for each subsequent month.
- Upon registration, they receive all the necessary certificates for health insurance and their stay at K.U.Leuven and in Belgium. They must present themselves to the municipal offices within 8 business days.
