Core documents

Please note

that applications received by us without these core documents will not be processed. Applications without any uploaded core documents and additional documents will be deleted after one month.

  1. A copy of your diplomas and transcripts of academic records
    All documents should be certified as true and original by either the educational institution that issued them or by the local Belgian diplomatic office. Photocopies and faxes are not accepted.
    Please add a document explaining the grading system of your country (i.e. comparing the grades to numeric score). If you still need to complete your studies at the time of application, please send intermediate transcripts along with your application. Please do note that your final transcripts will have to be submitted upon enrolment.
  2. Translation of your diploma and official transcripts
    If your documents are not in English, Dutch, French or German please arrange for these documents to be translated by a registered translator. These documents must be also be certified by the educational institution that issued them or by a Belgian diplomatic office.
  3. All non-native English applicants -- applicants who are not citizens of Australia, English-speaking Canada, Ireland, New Zealand, the United Kingdom and the United States of America or who have not obtained a previous diploma in one of those countries -- must submit a certificate proving their proficiency in English. The tests accepted by K.U.Leuven are TOEFL certificate sent by ETS, an IELTS certificate sent by The British Council. Only original score cards sent directly by either ETS or The British Council are accepted.
    - ETS: please use university code 0749 and, if required, department code 99
    - The British Council: please request the score card to be sent to the International Admissions and Mobility Unit, International Office, K.U.Leuven
  4. Proof of payment of the application fee made either via bank transfer or via credit card.


    The copies of TOEFL or IELTS certificates

    have to be uploaded in the web application Applicant as attachments. The original TOEFL or IELTS certificates have to be sent directly by ETS or The British Council.

  5. A passport photograph and a photocopy of the identity page of your passport

Additional documents

  1. Additional documents may be required by a specific programme: for example, statement of purpose, GMAT and/or GRE test results, recommendation letters, project proposals, etc. (please consult the programme requirements carefully). If the programme you are applying for requires a GMAT score, please contact GMAC (code JQH7X51) and arrange for an original score card to be sent to us.

    so please consult the corresponding websites for special programmes such as Erasmus Mundus Master's or Erasmus Mundus External Cooperation Window, IRO Scholarships, VLIR-ICP Scholarships, and suchlike for the most recent information concerning additional documents.

  2. Dutch language Bachelor applications: a certificate attesting to the equivalence of a foreign diploma for the purpose of access to bachelor’s programmes in a Belgian university:
  3. For doctoral programmes: please include a thesis proposal signed by a supervisor (promoter) at K.U.Leuven. Special instructions apply for PhD applicants of the Faculty of Law. If you are applying for an open vacancy, please mention the vacancy number on the Application Form.
  4. If Recommendation Letters are required for the programme, these should not be uploaded via the web application Applicant but must be sent in sealed envelopes to the International Admissions and Mobility Unit, International Office, K.U.Leuven.
  5. Applicants for VLIR-ICP scholarships have to submit their application before the February 1 deadline. Please read the specific VLIR-ICP scholarship selection criteria carefully before you apply. In addition, applicants must also send in two letters of recommendation (in sealed envelopes) and a letter from your employer (if applicable).
  6. For students from countries with a non-Latin alphabet, please add your mailing address in your own script on a separate attachment. For Chinese applicants, please also note the importance of the APS stamp.
  7. International scholars must add proof of enrolment at their home university.
  8. Students who intend to come to K.U.Leuven with an external scholarship are requested to upload any proof or attestation of such scholarship from another institution or organisation.
  9. Please note that successful applicants will have to show their original (university) diploma(s) to the International Office prior to enrolment.
