Registration

The winter university is fully booked and registrations are closed. It is not possible anymore to register.

Should you have any questions about the registrations, please do not hesitate to contact us via wusustainability@kuleuven.be. Please note that there is a limited number of participants (50 participants). Once this number has been reached, registrations also will close.

Otherwise registrations for the on-campus program will close on 1 november 2025 (midnight CET) for non-European students and on 1 December 2025 (midnight CET) for European students.

Registrations for the online programme will close on 4 January 2026 (midnight CET). 

1. General registration information

The tuition fee for the course include tuition, social and cultural events and reading materials. 

  • On campus fee:
    • Current (exchange) students: € 600
    • Students from partner institutions: € 600
    • Students from other universities: € 900
  • Online fee: € 200

If you are a student from a non-partner institute/university, then you must first send a current proof of  enrollment at your institute and short motivational letter to wusustainability@kuleuven.be. Once the organization has accepted your application, then you will be able to register at the fee for students from other universities. 

All registration fees are VAT exempt based on article 44 § 2, 4° of the Belgian VAT directive. Registrations fee are to be paid in Euro (€) by bank transfer, credit card or invoice.

2. Registration process

To register, please complete our registration form. You can find the registration form by clicking on the 'Register' button at the top of this page. 

The registration form for individual registrations consists of 5 steps:

  • Step 1 - General information: please include your personal information on this page. Please note that we will use the email address provided for all information regarding the Winter University.
  • Step 3 - Select your fee: please select the fee that is applicable to you. 
  • Step 4 (only for on campus fees) - Social activities: please indicate here which social activity you want to attend. 
  • Step 5 - Payment information: in this final step, you can indicate your preferred method of payment. You can pay via credit card or bank transfer. If you, however, require an invoice, please select 'bank transfer' and contact wusustainability@kuleuven.be. The invoice will be sent to you by email, including corresponding payment instructions. Please do not pay before receiving the invoice. 

Important invoice information: If you have already paid your registration by credit card or bank transfer, you will still be able to receive a proof of payment, indicating the amount. However, it will no longer be possible to receive an official invoice. Therefore, if you require an invoice, please contact us first and wait with your payment until you receive your invoice. 

You will receive a first email with an automatic confirmation that the registration has been received. This email will also contain all payment details. All payments should be made in advance in Euro (EUR, €) within 14 days after your registration. After payment you will receive a second email confirming that we have received your payment. If you did not receive this emails, either your registration and/or payment was unsuccessful. Should this happen, please contact wusustainability@kuleuven.be.

Cancellation policy

  • Cancellation by the participant:
    • If the participant cancels more than 4 weeks (until 15 December 2025) before the start of the winter school, 50% of the registration fee can be reimbursed to the participant.
    • If the participant cancels within 4 weeks (after 15 December 2025) before the start of the winter school, nothing will be refunded.

 All refunds are made in Euros. The organization cannot refund any shortfalls due to exchange rate fluctuations or bank charges.

If you want to adjust your registration fee, then we can only reimburse the difference in fee up to 4 weeks (15 December 2025) before the start of the winter school. After this date we do not adjust or reimburse any registrations fees anymore.

  • Cancellation by the organiser:
    • Should the Winter University be cancelled by the organizer for organizational reasons or as a result of force majeure, the organiser will refund the tuition fee. Claims for further liabilities or damages are excluded. KU Leuven reserves the right to reorganise the modules in the event of insufficient subscriptions.
